Spirion

As Virginia Tech employees it is our responsibility to safeguard sensitive data. Mechanical Engineering automatically scans all machines weekly to alert active users of possible high-risk data (see PII definition below). Please use the instructions below to Shred or Redact any high-risk data. In the event of false positives, you can whitelist a file to ignore in future scans.

For each finding:

  • Shred files that should be permanently deleted.
  • Redact files that need to be kept but contain sensitive information.
  • Ignore files that are false positives.
  • Export your profile when you're finished so your changes are retained for future scans.
Guide to using Spirion

Upon scan completion Spirion will open with a dialog box of options.

  • Select the Advanced option to start reviewing possible sensitive data matches.

Use Shred when a file is no longer needed and should be permanently destroyed.Warning: Shredded files cannot be recovered.

  • Select the file you want to remove.
  • Click Shred on the toolbar.

  • When prompted, click Yes to confirm.

  • After the operation is completed, click OK.

Redacting Sensitive Information

Use Redact when you need to keep a document but remove sensitive information from it.

  • Select the document you want to redact. 
  • Click Redact on the toolbar.

  • When prompted, click Yes

  • Click OK after the redaction completes.

  • Redacted information will be replaced in documents with X for each character redacted.
  • Review the redacted document to verify that the sensitive information has been removed prior to distribution.

Ignoring False Positives

If Spirion identifies information that is not actually sensitive, you can ignore the finding so it is not reported in future scans.

  • Select the finding.
  • Click Ignore on the toolbar.

  • Choose This Item Location.
Select ignore file
  • Click Yes to confirm.
  • The selected file will be added to your profile's ignore list.

When finished - Export Your Updated Profile

After shredding, redacting, or ignoring files, export your profile so your changes are saved for future scans.

Open the Profile Settings
  • Select the Configuration tab.

  • Click Settings.

  • If the Scheduled Task Configuration Warning appears, click OK.

Export the Profile
  • Select Profile from the left pane.
  • Under Export Profile, click Export.

  • Select Always Export Profile
  • Select Include All Default Settings
  • Click Yes

Save the Profile

Browse to: C:\Program Files (x86)\Spirion\MECS

  • When prompted to replace the existing file, click Yes.
